This policy explains how we collect and use your personal information when you visit our website, get in touch with us, or make an enquiry about our services. If you are already a client, the way we handle your information as part of delivering our services is set out separately in our Client Privacy Notice, which we provide when you join us.

Leila Rubner-Petersen is licensed and regulated by AAT under licence number 1010203. AAT is recognised by HM Treasury to supervise compliance with the Money Laundering Regulations and Rubner-Petersen & Co. Accountancy Ltd is supervised by AAT in this respect.
The information we collect
When you visit our website. Our website is hosted on Squarespace, which sets cookies and collects limited technical information such as your IP address, device and browser type, and how you move around the site.
When you contact us. If you fill in our contact form, we collect your first name, last name, email address and the message you send us, so we can reply. If you book a call, our scheduling tool also records the date and time you choose.
When you use our fee estimator. Our website includes a tool that gives you an indicative fee based on details you enter, such as your business type, turnover and the services you're interested in. When you view your full quote, these details are sent to us with a reference code and stored in our Microsoft 365 systems, so we can help if you get in touch. The tool doesn't ask for your name or contact details.
When you become a client. If you decide to work with us, we'll need more detailed information to deliver our services. How we handle that is explained separately in our Client Privacy Notice, which we provide when you join us.
Why we use your information
We use the information above to respond to your enquiry, answer your questions, arrange and hold introductory calls, and follow up where you've asked us to. Our lawful basis for this is our legitimate interest in responding to people who get in touch and in running and promoting our practice. Where we use cookies that aren't essential to the site working, we do so on the basis of your consent, which you can give or withdraw through our cookie banner.
Social media
We also have a presence on social media — Facebook and Instagram (both operated by Meta) and LinkedIn (operated by LinkedIn, part of Microsoft) — so we can share updates and answer general enquiries.
These platforms are run by other companies, not by us. When you use them, the platform collects and uses your information under its own privacy policy, which we don’t control.
When you follow us, comment on a post, or send us a message on one of these platforms, we may see and use information such as your profile name, the public details on your profile, and the content of any comment or message you send us. We use this to reply to you and to run our pages, on the same legitimate-interest basis set out above.
Please don’t send us confidential or financial information — such as tax details, figures or documents — through social media messages or comments, as these channels aren’t secure. If your enquiry involves anything sensitive, we’ll ask you to move to email, a booked call, or our secure client tools instead.
The platforms also give us anonymised, aggregated statistics about how people interact with our pages, which we can’t use to identify anyone. For this insights data, we and the platform are considered “joint controllers” under UK data protection law: the platform decides how the underlying information is collected and is responsible for that part, while we only see the summarised results.
Who we share it with
We don't sell your information or share it for marketing. We use a small number of trusted providers to run our website and respond to you, and your information may be processed by them on our behalf:
Squarespace — hosts our website;
Microsoft 365 (including Power Automate) — our email and business systems, and the routing of fee-estimator quotes; and
Calendly — our online booking tool.
Each acts under our instructions and is bound to keep your information secure. If you become a client, the further providers we use to deliver our services are listed in our Client Privacy Notice. The social media platforms we use (see “Social media” above) are different: they act as their own controllers under their own privacy policies, not as processors on our behalf.
Where your information is held
Some of our providers are based outside the UK. Where information is transferred outside the UK, we take steps to make sure it's protected to a standard equivalent to UK law — for example by relying on the UK's adequacy regulations, the UK International Data Transfer Agreement, or the UK extension to the EU–US Data Privacy Framework, as appropriate.
How long we keep your information
We keep personal information only as long as we need it. If you contact us or use our fee estimator but do not become a client, we keep what you've sent for a limited period so we can respond and follow up, and then delete it securely. If you become a client, the retention periods that apply to your records are set out in our Client Privacy Notice.
How we protect your information
We take the security of your information seriously. Our systems run on Microsoft 365 Business Premium with device encryption, access controls, and threat protection in place, and we follow good-practice security across the tools we use. No system can be guaranteed completely secure, but we work hard to protect your information and to keep it accurate and up to date.
Cookies
Our website uses cookies and similar technologies to make the site work and to understand how it's used. Non-essential cookies are only set with your consent, which you can give or change at any time through the cookie banner on our site, and you can also control cookies through your browser settings.
Your rights
Under UK data protection law you have the right to:
ask for a copy of the personal information we hold about you;
ask us to correct information that's wrong or incomplete;
ask us to delete your information (though we may need to keep some to meet legal obligations);
ask us to restrict or object to how we use your information;
ask us to transfer your information to another provider, in certain cases; and
withdraw consent, where we've relied on it.
To exercise any of these rights, contact us using the details below. We'll respond within one month. There's normally no charge.
Complaints
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.
Changes to this policy
We may update this policy from time to time. When we do, we'll change the "last updated" date at the top, and where the change is significant we'll make that clear on our website.
